Privacy policy
How ScanEstate collects, uses and protects personal information, including the scans we take inside your home.
Last updated 24 October 2026
ScanEstate ("we", "us") is a family-run business in Brisbane, Queensland. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth). This policy explains what we collect, why, who we share it with, and how you can access or correct it.
What we collect
- Contact and enquiry details. Your name, email address and phone number, the property suburb or address, your role (for example buyer, owner, builder or agent), and the services and details you tell us about, through our quote forms, by email or by phone.
- Booking and billing details. The property address, access arrangements, and the details we need to invoice you and receive payment.
- Scan data. A 3D scan records everything visible to the scanner, inside and outside the property. This includes the building, its contents and furnishings, and anything else in view, such as personal belongings, photos, documents or vehicle number plates. The scanner's cameras can also capture people who are present. Scans are tied to a location through GNSS (satellite) positioning.
- Website data. We use PostHog analytics to see how visitors use our website: the pages you view, the buttons you click, the website or link that brought you to us, your approximate location (from your IP address) and your browser and device type. In the quote builder it records the property details and services you choose and the estimate shown, but not your name, email address or phone number. PostHog stores a random identifier in a cookie and your browser's local storage so it can recognise return visits, and it doesn't identify you by name. We don't use advertising trackers. Like any website, our hosting provider also records standard server logs, such as IP addresses, browser type and pages requested, for security and to keep the site running.
How we use it
- To reply to your enquiry, prepare a quote and book the scan.
- To process the scan and produce the plans, reports, models, walkthroughs and videos you ordered, and to deliver them to you.
- To invoice you, keep business records and meet our legal and tax obligations.
- To contact you about your job, including follow-up questions or corrections.
- To understand how people use our website and improve it, for example by testing different wording or layouts.
We don't sell your personal information, and we don't use it for marketing unless you ask us to keep in touch. You can opt out at any time.
Scans of your home
- Before the scan. We ask that people stay out of the rooms being scanned where possible, and suggest putting away anything you'd rather not have recorded, such as mail, documents, photos and valuables.
- Who receives the results. Results go to the person who ordered the job, and to anyone they ask us to share them with. If you're not the owner (for example a buyer, builder or agent), you're responsible for having the owner's or occupant's permission for the scan.
- Walkthroughs and videos. Listing walkthroughs and videos are made to be published. Before they go live, the person who ordered them can ask us to remove or obscure items they don't want shown. Walkthrough links stay live for the hosting period stated in your quote, then we take them down.
- Samples and marketing. We'll only use images or results from your property as examples on our website or elsewhere with your written permission, and we'll remove the address and any personal details first.
Who we share it with
We share personal information only with the service providers we need to run the business, and only for that purpose:
- Our website analytics provider (PostHog, which stores the data in the European Union), which receives the website data described above.
- Our website host (Cloudflare), which receives the details you enter in our quote forms, emails them to us, and checks submissions for spam with its Turnstile service. Turnstile looks at information about your browser and device to tell people from bots.
- Our email, file storage and file-sharing providers, which hold enquiries and deliver your results.
- The service that hosts listing walkthroughs, for jobs that include one.
- Our accountant and payment providers, for billing and tax.
Some of these providers store data outside Australia, including in the United States. We choose established providers with appropriate security. We also disclose information when the law requires it.
Our website loads its font from Google Fonts, so your browser connects to Google's servers, which receive your IP address. See Google's privacy policy.
How long we keep it
We keep enquiry details for as long as we need them to respond and follow up. We keep job records, including scan data and deliverables, so we can answer questions and reissue results later, and we keep financial records for the time required by tax law (generally five years). You can ask us to delete your scan data sooner, unless we need to keep it for a legal reason.
How we protect it
We store information in password-protected accounts and devices, limit access to the people who need it, and share results through private links rather than public ones, unless the result is meant to be published (such as a listing walkthrough). No system is completely secure, but we take reasonable steps to protect your information from misuse, loss and unauthorised access.
Access, correction and complaints
You can ask for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Email hello@scanestate.com.au. We'll respond within 30 days.
If you have a privacy concern, please contact us first so we can try to resolve it. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
